Actor tax expenses:What to track through the year.

Tax season is a terrible time to reconstruct every casting-site renewal and ring-light receipt from memory. If you earn as an actor, the useful habit is the same everywhere: log income and costs as they happen. The forms and deadlines differ by country — the paper trail doesn’t.

This is not tax advice. Rules change, and what’s allowable depends on your situation. Use this as a checklist of what working actors usually record, then confirm with a qualified adviser (and HMRC or the IRS) for you.

Why audition season creates a paper trail

Self-tapes aren’t free. Neither are casting platforms, headshots, travel to the room, or the percentage your agent takes. Those costs sit next to fee income when you file. Miss the receipts and you’re guessing under pressure — whether you’re filing in London or Los Angeles.

Costs actors commonly track

Often relevant when they’re for the acting business (not everyday life):

Grey areas people get wrong in both countries: everyday clothes, general haircuts, “might use it someday” gadgets. Costume for a specific role is a different conversation than jeans you wear to the shops. When unsure, ask — don’t invent a category.

A habit that survives busy weeks

  1. Photo or save the receipt the day you spend.
  2. Note what it was for in one line (“tripod — self-tape”).
  3. Separate fee income from reimbursements when you can.
  4. Monthly glance: anything missing from casting sites, dues, or kit?

Pair money with the job when it helps — which audition the travel was for — so your audition log and your books tell the same story.

Where UK and US usually differ

The shopping list above is shared. The filing system isn’t. High-level differences actors bump into:

Tax year and deadlines

UK: The tax year runs 6 April to 5 April. Online self-assessment is typically due by 31 January for the previous tax year. Digital record-keeping (Making Tax Digital) is expanding for many self-employed people — a running log beats a shoebox in January.

US: Most people file on a calendar year. The federal individual return is usually due around mid-April (extensions exist; they don’t erase estimated-tax habits). Many actors also pay estimated taxes through the year if tax isn’t withheld on every cheque.

How the work is labelled

UK: A lot of actors are self-employed for tax and file via Self Assessment. Income and allowable expenses are judged against HMRC’s “wholly and exclusively” for the trade test. VAT only enters if you’re registered.

US: Freelance / gig work often lands on Schedule C (profit or loss from business). You’ll also see W-2 wages on some jobs and 1099-style reporting on others — mix them carefully; don’t double-count. The IRS language is “ordinary and necessary” business expense, not a free-for-all.

What shows up on the paperwork

UK: Agent commission invoices, Spotlight / Equity renewals, mileage or public-transport records, and clear notes on kit bought for the business. Capital allowances can matter for bigger kit — that’s an accountant conversation, not a blog decision.

US: Same idea with different forms: agent/manager fees, SAG-AFTRA dues, casting-site subscriptions, mileage logs (IRS standard rate or actual costs — pick a method and stick to it), and receipts for gear. State and city tax can sit on top of federal rules; New York and California are not identical worlds.

What stays the same

Receipts beat memory. Separate business from personal. Update statuses and fees when jobs close. Don’t wait until the filing deadline to invent a year of spending. Your adviser still does the return — you’re building the evidence.

A few quick ones

Can I claim self-tape equipment?

Often yes when it’s for the business — confirm treatment (expense vs capital / depreciation-style rules) with your accountant in your country. Keep proof of purchase and purpose.

When are the usual deadlines?

UK online Self Assessment is typically 31 January. US federal returns are usually mid-April for the calendar year. Local rules and extensions can move the date — check the current year, don’t rely on memory.

Is this enough to do my tax return?
